Auto Post Letter and Numeric Grades at the Same Time

Letter grades and numeric grades may be posted to the respective grade areas at the same time now. There is some basic setup that must be done first.  The setup of the grade areas is the function of the administrative office personnel.   This is for teachers’ information only.

Grade Area Setup
The grade areas must be adjusted first so that you have a grade area (placeholder) for each type of grade (letter and numeric). This should be set up BEFORE the beginning of school, but could be adjusted after a grading period. Note: be sure to check with technical support for assistance if you opt to start this mid-year.

A sample layout, showing the new fields, is shown below:

The main changes needed to your grade area setup are:

     Add additional grade areas to store the numeric percentages

     Indicate whether a grade area is receiving a Letter or Numeric grade (5th column shown above)

     Match corresponding grade areas by using a code to “combine” like grade areas (6th column shown above).

 Use only L or N in the GB Autopost L or N column to indicate if the grade area is receiving a Letter or Numeric grade.

 

The GB Autopost Group field can be “coded” by you, but you want to make sure you only use codes for the “like” grade areas.  If you would try to combine quarter 2, the semester exam, and the semester grade all into the same group, then you would have undesired results.  Mainly you will make the groups in pairs.


Gradebook Action

At the end of the term, either the office posts the grades from the grade books to the office side or the teachers post their grade books to the office area.

     Processing Options = Add, Change, Update Options

     Post Gradebooks to Marking Period Grades

     Click the dropdown and choose the appropriate grade area to post grades to (note; you can chose either grade area but BOTH will post because of the setup completed above)

     Click the Post/Transfer Grades button.

Teacher posting

     Login to SDS Teacher Web

     Click on the Gradebook Button

     Click on Settings/ General Settings

     Select a grade area from the dropdown next to “Select the Grade Area you wish to post Gradebooks for”.

     If you wish to post grades for inactive students, check the box “Include Inactive Students”. 

     Click “Post/Transfer grades” button

     All gradebook pages that are setup to auto post into the selected grade area will copy the class grades into that grade area immediately. If you make any grade changes in a gradebook page after transferring grades, you will need to repeat the 2 steps immediately above this one to insure that the marking period and gradebook grades are the same.

Now teachers may use the “Marking Period Grades” section of Teacher Web to add the comments and notes to parents that will eventually print on the report card/progress report.  In the grade entry area, the letter and numeric grades will both be visible now.
