Add an Individual Note on a Student Transcript


Have you ever wanted to put a note on an individual student’s transcript? You might want to indicate that a student was a member of National Honor Society, Class President, or Valedictorian, or perhaps that the student was a Mid Term Graduate. If you have a transfer student, you might want to note that classes from a particular school year were transferred from another school. Follow the directions below and the note you enter will print on just the selected student’s transcript.

 

1.  Transcript note for individuals requires a data entry view with the “Comments” field from the GPA Cumulative Table. If you don’t already have a view with this field, search this Help Console for  “Data View Definition”  using the GPA Summary Information Default View and add the “Comment” field in the view.  

2.  Once you have a view with the Comments field, go to Data Entry & Changes | Student Information.

3.  Click the Entry Options drop down list at the top of the screen and click on the Data View Definition that you created in step #1.

4.  Locate the student to which you want to enter a note.

5.  Click on the yellow file folder, to the right, and enter your note in the “Comments” field and click “Save”.

    Many standard and custom transcript formats will automatically include this info in the transcript’s footer section. Note: if you have a custom transcript, the Comments field may need to be added to the custom report.
