Calendar Change for Snow Day

There are times when a calendar date needs to be changed from active to inactive (students are not in attendance) due to inclement weather such as excessive snow, sleet, etc. There are two steps needed to accomplish this change.

1. Adjust Attendance

     If there was any “pre-entered” attendance for a date that has become a snow day, it will need to be removed in the Attendance|Attendance Entry area. Remove period attendance first, if applicable, and then if there is anything remaining in daily attendance, on the snow date, remove it as well.

2.  Calendar  

     Go into the Attendance folder and then to Calendar Setup and Changes.

     Locate your school location in the drop down box, at the top of the screen.

     Locate the snow date and change the “active” column to “N”.

     Click the save diskette.

     If this area is “grayed” out, there is still an attendance record(s) entered for that date.

     Locate the record in the Attendance|Attendance Entry area and delete it.

 

This action of changing the calendar will automatically adjust the students’ enrollment records for that school location so no further action, in regards to enrollment records, is necessary.

That is all that needs to be done to adjust your data to accommodate the snow date. The next time you run an attendance analysis report or grade report that includes this date; make sure to refresh your attendance.
