How to Setup your Workstation to Work on Crystal Reports for SDS


The below instructions will walk you through how to setup your workstation if you would like to customize SDS reports. 

Before you begin setting up your workstation make sure you have Crystal Reports installed on your workstation.  Your tech can assist you with this.  There’s instructions that help guide you on where you can purchase Crystal Reports and the version we suggest by searching for “Crystal Reports”.


STEP 1 = DOWNLOAD BACKUP DATABASE TO YOUR WORKSTATION

To download a backup of your database to your local workstation for customizing a Crystal Report follow the below instructions:

1.  Create a folder on your workstation i.e. SDS Reports

2.  How to download a backup of your database to your workstation:

1.  Log into Web School Office

2.  Select Administrative Utilities |Control Center |File Transfer

3.  Click on “Send Database to SDS” radio button

4.  Select “Send .bak”

5.  Place a check in the box next to “Create zip file only”

6.  Click “Send Database to SDS”

7.  You will receive a message “A file called ToSdsFile.zip is available to download to your workstation.” Click OK after reading.

8.  Select “Save File to Workstation”

9.  Select the "Student" folder circle

10.         Click on the dropdown at the top of the screen

11.         Select “Zip File (*.zip)”

12.         Click on Select next to the file “ToSDSFile.zip”

13.         The row will highlight in yellow and the file name will appear above the table.

14.         Right click on the blue file name link above the table to download ToSDSFile.zip

15.         When you right click on “ToSDSFile.zip” select “Save Target As”

16.         Browse to "SDS Reports" and save it.

17.         Once you have downloaded the zip to your workstation, unzip it to get your .bak.

18.         Rename sdsxplan.bak to sdsxplan.mdb and move it to your SDS Reports directory.

§ Note: Remember your backup file is a copy of your database from when you last performed a backup, not of your live database.

STEP 2 = DOWNLOAD REPORT TO WORKSTATION

To download a copy of a default/custom report to your local workstation for customizing with Crystal Reports follow the below instructions:

1.  Enter WSO |Administrative Utilities |Control Center |File Transfer

2.  Click in the radio button next to "Save File to Workstation"

3.  Select where to look for the file ftp site or student directory

4.  Select the file type ".rpt" from the dropdown

5.  Browse to find the report you would like

6.  Click Select to the left of the report you would like to download

7.  Right click on the report file name highlighted in blue at the top i.e. swb_s10.rpt and save it to your SDS Reports directory you created in STEP 1.

STEP 3 = DOWNLOAD THE UDL FILE TO WORKSTATION

To download a copy of the UDL file to your local workstation for customizing with Crystal Reports follow the below instructions:

1.  Enter WSO |Administrative Utilities |Control Center |File Transfer

2.  Click in the radio button next to "Save File to Workstation"

3.  Select where to look for the file ftp site or student directory

4.  Select the file type ".udl" from the dropdown

5.  Browse to find the file you would like (i.e. sdsv8s.udl)

6.  Click Select to the left of the file you would like to download

7.  Right click on the UDL file name highlighted in blue at the top i.e. sdsv8s.udl and save it to your SDS Reports directory you created in STEP 1.

STEP 4 = SEND CUSTOM REPORT BACK TO WEB SCHOOL OFFICE

Before sending your custom report up to SDS please make sure you have saved it as a custom report name.  To read more about how to name a custom report search for “Save a standard SDS Report as a custom report”. Remember if you overwrite the standard report, when your system is updated your custom report will be overwritten.

To send your custom report to Web School Office follow the below instructions:

1.  Enter WSO |Administrative Utilities |Control Center |File Transfer.

2.  Click on Send File to Server

3.  Click on the Browse button and browse to where your file is located.

4.  Click Upload File.

5.  You will get a message that your file was sent then click OK.
